Accounts Payable and Payroll Specialist

Mueller Prost is seeking an Accounts Payable and Payroll Specialist for our Clayton office.This is an internal position that will be working exclusively on one of our clients performing accounts payable and payroll functions.

Duties and Responsibilities

As an Accounts Payable and Payroll Specialist, you will accurately and proficiently process payroll and transactions for multiple facilities of a large client of the firm. The responsibilities of the position include the following:

  • Prepare payroll and associated functions such as reconciling travel expenses and insurance/benefit plans; updating changes in deductions and withholding; and updating records for new hires and terminations. 
  • Verify approved hours from employee time reports and enter into the payroll system 
  • Timely distribution of paychecks to multiple locations 
  • Prepare payroll journal entries for posting 
  • Coordinate preparation and distribution of W-2s 
  • Prepare appropriate accounting schedules and reports as required 
  • Review and verify coding on invoices and check requests 
  • Enter and upload invoices daily into the software system 
  • Prepare accounts payable registers for check runs 
  • Research and resolve invoice discrepancies and issues 
  • Maintain vendor files 
  • Correspond with vendors and respond to inquiries 
  •  Post transactions to journals, ledgers and other records 
  • Close and reconcile the sub-ledger to the general ledger on a monthly basis
  • Review the set up new vendors including W-9s and 1099s 
  • Assist with month-end closing Assist with other projects as needed

What We Seek

  • Minimum of 3 years’ progressive experience in preparing and processing multi-location accounts payables and multi-state payroll
  • Associate’s Degree or equivalent experience in a progressively responsible position handling payables 
  • Knowledge of accounts payable and payroll principles, practices, regulations and procedures
  • Prior experience working in a CPA/professional services firm or senior living/healthcare facility is preferred, but not required
  • Experience and proficiency in Microsoft Office suite
  • Experience with Yardi a plus, but not required
  • Ability to maintain high level of confidentiality
  • Ability to perform multiple tasks concurrently with ease and professionalism
  • Must be detail oriented, extremely accurate, and able to proof own work
  • Demonstrated proficiency in detailed number-based tasks such as account reconciliations
  • Proven high level of integrity and work ethic
  • Able to perform basic calculations and mathematical figures
  • Strong interpersonal and verbal communication skills to interact with employees and outside sources alike
  • Professional appearance
  • Ability to prioritize work while functioning under strict deadlines
  • Contributes to the firm’s objectives by fostering a positive environment with personal cooperation, a good attitude, and a willingness to help others and be a team player
  • Ability to work overtime as required throughout the year as workload requires
  • Consistency and timeliness in attendance: arrives on time and provides adequate notice of needed absences
